April 14th, 2011 Minutes

Clayton Federated Women’s Club


General Meeting April 14, 2011

The meeting was called to order.  Ruth Lawrence led us in prayer; Sue Richardson led the Club Collect and the Pledge of Allegiance.

Nancy Anne Mock was introduced as a guest.

Program was given by Karan Bower and Katherine Whitesides on Fundraising Projects and Art Classes.  Art Classes included: Tie Bag, T-Shirt (rust & bleach), Utility Bag, Quilting Bag, Casserole Carrier, and Jewelry: seed beads & glass fired pendants.  Fundraising Projects included: Senctsy

Corrections to the minutes were made for the Chamber Banquet date.  Minutes were approved as read with corrections.
Treasurer’s report included a beginning balance of $1631.45.  Deposits were made of $413.00.  Withdrawals totaled $708.25, leaving an ending balance of $1336.20. 

Art division was given by Darlene.  Monthly Classes included watercolor class.  Jo Beth is giving a Beginning Drawing Class at the Art Center.

Civic Division report : 
Art Center looks wonderful.  Karan has grants coming. Display cases are on loan from Leanna Leighton who will sell all three to us for $1000 after we have our 501 c 3.  We will vote on the purchase in May.

$5000 grant to PNM for installed water heater, LED light, Refrigerator
Grant for back of building for bigger art classes.

Sue made motion to get back of building done first. Carol 2nd motion.  Motion passed.
The AC/Heat unit is not capable of keeping up with more than the front part of the building.  We need to get 2 units & replace the gas line.  Need $40,000 total in grant money to get this fixed.

Received a $500 grant from Lodges Tax for advertising from 7/11-7/12.
Grant from GEO- haven’t heard from them.

It was recommended that we sell items from the Art Center on Etsy.
Sue recommended that we get a credit card machine.  Cost would be $400-$500 plus surcharge.  Victoria mentioned that sales increased at museum when they invested in one.  Katherine will research.

Courtesy Committee- Sue & Edith Lois will send Thank You’s to Firefighters.  Several thank you’s were in the newspaper which would be good publicity for our club.
Scholarship Committee- Sue said there were 7 applicants for the $500 scholarship that was being offered.  Interviews will be April 20th, Wed. at 9.  Edith Lois, Jamie, and Pat will go to interview.

Chamber- Sue said the Banquet was April 14; upcoming events included the 4th of July BBQ & Parade.  We will sell ice cream as usual.
Civic Treasurer’s Report covered. (?)

Library- Edith Lois said that they opened Facebook account.  They’re starting to organize summer reading program.  Monroe collection covered.
Museum- Edith Lois reminded us that the Night at the Races was Sat. April 16th.  The Black Jack Ketchum Program was well attended.

Pat said that the cookbooks are paid for except for the $200 that we owe Jamie.  After that it’s pure profit for the Art Center.
State Convention- Karan

Art Center closed during Thursday meetings.
May Meetings: 5th – Dine out; 12th – Officers are hostesses

Need volunteers to work Art Center while members are at Convention.
Karan mentioned that summer hours need to be extended; therefore, we need more volunteers.  Art Sales – Art Scholarships for College

Non Profit Status- 2 months is up, so Pat will call.  Retroactive to Feb. 28, 2010.
Elks Club Wine Tasting & Fashion Show- do we want to have a booth?  Booth with door prize.  $25 to participate.  No objection to participate.

Sue- Brochure State Assoc. of Counties & State Extension Club has conventions in May.  Need donation from Art Center.  Edith Lois made motion that we offer 5% off during events at Art Center (off our commission) & cookbook.  Nola 2nd motion.
Need to donate for Spring Fling and Extension Club.

Executive Board- Sue informed members of upcoming fundraisers: (See attached page)
Shirley said that we made $202 on Bake Sale for Scholarship.

Pat reminded members which art pieces are needed for State Convention.

January 13, 2011 Minutes

Clayton Federated Women’s Club


General Meeting January 13, 2010

The meeting was called to order at 11:34. Edith Lois led us in prayer, Ruth led the Club Collect and Carol led the Pledge of Allegiance.

Rebecca Gonzales was introduced as a guest.

Jamie Blanks asked if there were any corrections to the minutes. Minutes were approved as read.

Volunteer hours need to be turned in ASAP. Reports are due.

Treasurer’s report included a beginning balance of $1046.69. Deposits were made of $682.25. Withdrawals totaled $827.54, leaving an ending balance of $901.39. Balance is down because of Building expenses that Art Center can’t pay. Fundraisers are being planned so that funds can be brought back up.

Jamie made motion that Carol Childress be nominated for a substitute treasurer needed to take care of the treasury while treasurer is away. Sue 2nd motion. Motion passed.

Edith Lois commented that the budget needs to include all new expenses that the Art Center has acquired.

Art division canceled classes for Jan and Feb. Shirley gave art report. Class was held in December on Christmas cards with a new pattern.

Christmas party went well and members played a new card game that seemed to please everyone.

Civic Division report was given by Carol. At the meeting, members discussed Kathryn’s duties as the chairman of the civic division. The need for more volunteers for the Art Center was also discussed. Discussion was also held on classes that need to be held. Jo Beth is working on a monthly flyer to put in the paper. Civic division wants to change the commission that the Art Center will receive. Motion was made that the Art Center would make a 40% commission on all art work with up to a 20% discount for volunteer services. Carol 2nd motion. Ruth clarified motion, motion passed unanimously.

Valentine Dinner will be held the Saturday before Valentine’s Day in order to raise money for scholarships.

Sue wants to make a goal of having a 4 year scholarship available. Members agreed to work toward that goal.

Scholarship committee – Sue has been trying to contact the school.

Courtesy committee will send cards to Darlene Walker and to Carl Price.

Library report was given by Edith Lois who informed members of a meeting the day before. The Library wants to put everything into a computer data base. They also have a new board member, Pal Austin.

Edith Lois then reminded us that the Historical Society and the Library had not been paid. Pat reminded Sue that all the addresses needed to be changed to the new PO Box.

Museum- Sue told us that Victoria wants to work on a Union County History Book. One had been published 30 years ago and never got the input they wished for the book. Members are encouraged to get involved in the new history book.

Chamber report was given by Sue who informed members that the Chamber was hoping to do a beautification project in the lot across from the post office that would include a park.

Bazaar- Sue mentioned that she didn’t think the upstairs worked out so well. Although, the food booth did very well. Civic center has yet to give us a discount which should mean next year it should be free.

There are still outstanding nut sales. Members need to make sure they have turned in all their money for the nut sales.

Cookbooks still have an outstanding bill. We are hoping to have another tasting party. Partygoers commented on how much they liked having the smaller tasting cups.

Golden Age club gave us tables, but we need to pick them up. Linda will co-ordinate with Jack.

Methodist Church also donated tables. Kid tables still need to be taken back to the church.

Christmas family went well. Club only added $5 to complete gift.

Moonlight madness went well. There were 9 children and they did 2 crafts.



Unfinished Business-

Haven’t heard anything on 501-c-3, but Pat will start trying to get a hold of them.

New Business-

State Convention is April in Las Cruces. 100th year celebration.

South Central went well. Karan said they liked the décor. Sue needs memorabilia for scrapbook. Pat will call Portales for art awards.

Santa Fe Trail disbanded. Sue Alsup wants to give ½ of their treasury to the Art Center.

Edith Lois wants to reinstate wrapping paper fundraiser.

Grant was given to the Art Center for $10,000 for reconstruction to gallery. Check will be presented to the club on Monday morning at 10am.

The next grant that will be applied for will be the electrical work.

Carol wants to make the grant writer, Lynette Mathis, an Honorary Member of the CFWC.

Terrell Jones wants to start after school programs at the Art Center.

Carol made motion to keep a hardcopy of the books up to date. Sue 2nd. Motion passed.

Announcements included- Next meeting will be Feb 10th and the hostesses are Shirley and Ethel. Program will be on Home Life.
